Proposal · Prepared for Cultivech

A finance backbone for Cultivech — built once, kept healthy every month.

Implement Odoo around how Cultivech actually works — projects, produce and export, services — then a monthly finance rhythm that turns the numbers into decisions.

THE ENGAGEMENT

Two commitments, one outcome

Build it right in 8 weeks. Then keep it decision-ready, every single month.

1 · BUILD

Odoo implementation

An 8-week implementation shaped around Cultivech's three revenue streams — accounting, sales, purchasing, inventory, projects and ETA e-invoicing, live and tested on real documents.

EGP 75,000 one-time
2 · RUN

Monthly finance follow-up

After go-live: the close, the report pack, the review meeting — a monthly rhythm with two service levels to choose from.

EGP 10,000–15,000 / month
What this is — and is not

This is NOT a software installation. It is a finance function built on Odoo: the chart of accounts, the cost structure, the daily flows, the controls — and then a standing monthly discipline so it stays true. The software is the tool; the deliverable is numbers you can run the company on.

YOUR BUSINESS

Three businesses in one company

Cultivech isn't one revenue stream — it's three, each with different finance logic. That is the design constraint everything else follows.

Projects — design & build

Hydroponic systems designed, built and handed over to growers — 15+ farms delivered (Hydro Farms, Nawa Farms, Top Crops, Makady Farms, Hegazy Group…).

Finance implication

Project accounting: a quote that knows its cost, milestone invoicing, work-in-progress, and a per-project P&L — so the next quote is priced on evidence, not memory.

Produce — grow, trade & export

Fresh produce grown and sold locally and abroad — lettuce, spinach, arugula, tomato, basil; hydroponic lettuce exported to South Asia; strawberry R&D underway.

Finance implication

Perishable inventory and yield tracking, cost per crop per cycle, export documentation tied to shipments, and multi-currency receivables.

Services & the app

Operation, consulting, training and technical support for growers — plus the Cultivech App ("Your Farm In One Tap").

Finance implication

Recurring service revenue, contract billing schedules, and — over time — farm data from the app feeding the same reporting spine.

A system that treats a hydroponics project, a crate of basil and a support contract the same way will answer none of your questions. The design starts from the difference.

WHAT FINANCE MUST ANSWER

Five questions the system is built to answer

Every configuration choice traces back to one of these.

Which project actually made money?
Per-project P&L: revenue, materials, labour and subcontractors coded to the project from the first purchase order.
What does a kilo really cost us?
Cost per crop per growing cycle — seeds, nutrients, energy, labour — so pricing and crop decisions rest on numbers.
Which client / farm is worth it?
Margin by customer and by farm across all three streams, in one view.
Where is the cash?
A live cash position, AR/AP aging with follow-up discipline, and a collections rhythm.
Are the books bank- and tax-ready?
A monthly close with reconciled banks, documented entries, and ETA e-invoicing handled.

THE TOOL — CHOSEN FOR FIT

Why Odoo

The tool comes after the design — and for this design, Odoo is the honest recommendation.

One system, three businesses

Accounting, projects, inventory, purchasing and sales live in one place — a project's costs, a crop's inventory and a service contract post into the same ledger, coded by stream.

Analytic accounting is the fit

Odoo's analytic dimensions map exactly to what Cultivech needs: business line × project × farm/crop. Every pound answers three questions at once.

Egypt-ready, affordably

ETA e-invoicing, EGP + foreign currency, Arabic/English — without enterprise-ERP cost. It grows from 5 users to 50 without re-implementation.

The module map

Core: Accounting · Invoicing (ETA) · Sales · Purchase · Inventory · Projects. Supporting: Documents, Approvals, Dashboards. Later, if useful: Manufacturing-style grow-cycle costing, HR/Payroll, an API bridge from the Cultivech App into the same reporting spine.

Edition & hosting (Community self-hosted vs Odoo Online) is a cost decision we take together at discovery — licence costs stay with Cultivech either way, transparently.

THE BUILD

Eight weeks, five milestones

Fixed price, fixed path — EGP 75,000 covers all of it. Each phase ends in something you can see and sign off.

Weeks 1–2

Discovery & design

How each stream really works today; chart of accounts + analytic design (stream × project × farm/crop); process map; edition & hosting decision.

Deliverables
  • Finance blueprint signed off by you
  • Chart of accounts & analytic plan
  • Module map & gap list — what is standard, what needs configuration
Weeks 3–4

Foundation

The accounting core stands: CoA loaded, opening balances, customers/vendors/products master data, banks connected to statements.

Deliverables
  • Odoo live in a staging database
  • Opening trial balance agreed
  • Master data loaded and validated
Weeks 5–6

Flows & Egypt compliance

Sales, purchasing, inventory and project flows configured per stream; ETA e-invoicing connected and tested on real documents.

Deliverables
  • Quote-to-cash and purchase-to-pay working end-to-end
  • Project costing & milestone invoicing live
  • ETA e-invoice clearing on test documents
Week 7

Team & rehearsal

Your team trained on their daily screens; a full month simulated end-to-end; issues fixed while it is still rehearsal.

Deliverables
  • Role-based training done
  • UAT checklist cleared
  • Cut-over plan agreed
Week 8

Go-live & hypercare

Real transactions start in Odoo. Two weeks of close support so the first real close lands cleanly.

Deliverables
  • Production go-live
  • First-close support
  • Handover pack: manuals + configuration document

AFTER GO-LIVE

The monthly rhythm

A close that ends in a decision meeting — not a spreadsheet hunt.

Days 1–5
Close the month

Banks reconciled, accruals posted, inventory counted and valued, intercompany/stream allocations done — with your team, not instead of it.

Day 6
The report pack lands

P&L by stream and by project, cash position and runway, AR/AP aging, crop-cycle costs, and the KPIs we agree matter.

Day 7
The review meeting

45 minutes with the founders: what moved, why, and the 2–3 decisions the numbers are asking for.

All month
Keep it healthy

Questions answered, mistakes caught early, users supported — and in the Finance Partner option, the system itself keeps evolving.

INVESTMENT

Simple, flat, predictable

One implementation fee. Then choose the monthly level that fits — and switch or stop with a month's notice.

Implementation — the full 8-week build
EGP 75,000 one-time
Why this number: Implementations of this scope from Odoo partner agencies in Egypt typically run EGP 150,000–400,000+. This is a founding-client rate — one senior person leads the build end-to-end with no agency overhead, and Cultivech becomes a flagship VERTEX reference in agri-tech. It holds for this proposal's 30-day validity.
Option A

Finance Partner

EGP 15,000 / month

Your outsourced finance manager and Odoo partner in one.

  • Monthly close run together with your team
  • Full report pack + founders' review meeting
  • Cash, AR/AP follow-up discipline
  • ANY Odoo customization included — reports, fields, automations, new flows
  • User support & refresher training
  • Quarterly deep-dive: pricing, margins, crop & client mix
Best when: Best while the system beds in, the team is lean, and the setup still evolves — typically the first 6–12 months after go-live.
★ Recommended to start
Option B

Financial Review

EGP 10,000 / month

The assurance layer: your team closes, I make sure it is right.

  • Monthly review after your team closes
  • Exceptions & corrections report
  • Management summary pack
  • One review meeting per month
  • Odoo changes quoted separately as needed
Best when: Best once your team runs the close reliably and the configuration has stabilised.
The honest decision rule: start on Finance Partner while the system beds in and customizations flow; step down to Financial Review once your team runs the close on its own. The system is built so that day comes.

WHAT CHANGES

Ninety days after go-live

Every pound knows its job

Coded to stream, project and farm from day one — no more untangling at year-end.

Numbers by day 7, every month

A close that ends in a decision meeting, not a spreadsheet hunt.

Projects priced on evidence

The next quote starts from the last project's real margin.

Export-grade paperwork

Invoices, shipments and ETA clearance tied together and auditable.

Bank- and investor-ready books

When financing or a partner conversation comes, the numbers are already dressed.

You'll price projects, choose crops and pick clients on numbers — not gut. That is the whole point.

Ready when you are.

One message — and we can start within two weeks.

APPENDIX · WHO YOU'RE HIRING

Why me for this

  • Head of Finance at an Egyptian agri-tech group — living daily in exactly this mix: multi-site agriculture, projects, inventory, export and investor reporting.
  • Led a complete Odoo implementation end-to-end — chart of accounts to ETA e-invoicing to payroll — and run the monthly close on it now.
  • Agri-specific finance: crop-cycle costing, biological assets, seasonal labour, farm-level analytics — not generic bookkeeping.
  • This engagement is delivered personally — the person who designs the system is the person on the monthly review call.
Same sector, same tools, same problems — solved already, elsewhere in Egyptian agriculture.
